More operating assumptions and optional scope

Data-link capacity uses peak seasonal volume, 2–4 actions per online ticket. SMS assumes 1–3 texts per ticket.

Power BI Pro at $14/user/month, Modified and Pro.

Optional on any plan. Trackside’s $2/ticket add-on is additional; these tickets are a subset of the total entered above.

Modified / Pro. Square Plus charges 2.5% to load gift cards; Premium has no load fee. Processing remains excluded.

MyRacePass’s modeled subscription already includes race management, so no second race-management product is charged. Other stacks use its published $599–$999 subscription allowance.

Software. Timing. Every connection.

“It’s your Wi-Fi”
shouldn’t end the call.

When our team installs and supports your network, we can troubleshoot the POS, ticketing, Wi-Fi, fiber, TrackLink and timing together. One technical organization owns the problem across the systems we supply.

We install it. We connect it. We support it.
No self-install project to manage. Our crews configure the workflow, align the timing beams and verify the infrastructure for our systems.

The numbers behind the comparison

Every job checked.
Every charge explained.

The recurring budget prices an assembled alternative. It does not make separate products native to Accutime or give their suppliers shared responsibility.

Complete capability audit—not a fixed product count

We audited the public Trackside plan list and tool catalog across admission, payment, customer records, product commerce, communications, racer paperwork, track operations, retention, reporting and support. The matrix above includes every catalog capability and the added integration/support jobs. Lower plans never inherit higher-plan features. Race Management and reserved-space usage are separately priced. Installed TrackLink, the racer-to-Accutime workflow, broadcast APIs, fiber/Wi-Fi, precision alignment and event support retain their own project scope.

One product can cover several jobs. Square’s inventory, gift cards, loyalty, reports and newsletter tools are credited. Knack is one configured database/forms/portal tool—not a separate subscription for every form, vehicle, check-in and schedule. Its native connectors are credited in scope, while this reference architecture uses Zapier for the cross-product connections; that choice is replaceable in a project. WildApricot’s website replaces the separate WordPress website for generic Pro stacks. Its member email tools are credited; a wider customer list may live in the selected newsletter tool. MyRacePass and MotorsportReg receive credit for documented motorsports, API, participant, membership and pass capabilities. These credits change both the tool list and its cost.

Accounting/payroll, an ISP connection, video production, extra Starlink accounts, unrelated CRM or social-media scheduling, and digital signage are not automatically billed as Trackside replacements: they are either common costs on both sides or capabilities not documented in the selected Trackside software plan. Card processing, taxes, domain registration and paid advertising are excluded symmetrically. They have not been called free.

Software capacities, forms, waivers and newsletters

All four Trackside plans require $99/month. Fees are $1 / $1.50 / $2 / $2.50 per paid ticket for Starter / Stock / Modified / Pro. The volume input is paid online tickets; it does not mix a provider’s cheaper cash box-office fee with Trackside online ticket fees. No additional Trackside platform fee is charged on Stock-or-higher concessions or merchandise sales. Processing is excluded for both sides.

Square Premium is $149/month for one location with 24/7 phone support. Turning professional support off uses Square Free for Starter and Square Plus at $49/month for Stock and higher. Square’s included unlimited newsletter email, loyalty and gift cards are credited where they apply; selecting a dedicated newsletter product is a chosen architecture, not a claim that everybody must buy one. Mailchimp’s 5,000-contact Essentials and Standard tiers are $75–$100/month; Constant Contact’s published 2,501–5,000-contact Lite and Standard tiers are $80–$110/month. Choose “included email” to remove that additional subscription. Eventbrite / TicketSpice and MotorsportReg email tools are also credited rather than labeled absent. Data still needs to be joined across ticketing, facility POS and any separate audience.

Modified / Pro include digital waivers and tech cards. The reference stack uses capacity-priced waiver software plus Knack Pro ($1,320/year, 50,000 records) through Corporate ($3,000/year starting, 125,000 records) for configured racer/vehicle records, tech and other digital forms, staff roles, participant status and track-control records. Those are reusable building blocks, not an off-the-shelf dragway tech-control system. Knack also supports configured public schedules and reserved-space records. Its included forms, signatures, emails and native automation are credited; we do not add a duplicate Jotform or Airtable charge. Jotform was evaluated: its Gold tier allows 1,000 signed documents/month and is a single-user plan, so a forms-only price does not by itself cover this multi-user operating scope.

Waiver capacity is selected by peak month: Smartwaiver’s published annual tiers are $194 (100), $561 (300), $1,581 (1,000) and $2,030 (2,500). Its 600 tier is $105/month. Upper budgets use the announced October 8, 2026 monthly renewals: $22 / $60 / $110 / $160 / $205 for 100 / 300 / 600 / 1,000 / 2,500. Above 2,500, the reference uses WaiverElectronic’s published Premier (8,000/month, $249.99/month) or Enterprise (20,000/month, $499.99/month), rather than pretending an unknown enterprise price is zero. A provider change still requires checking insurance, integration and document requirements.

Cross-system analytics use Power BI Pro at $14/user/month. Generic Pro membership stacks use WildApricot’s annual-prepay versus monthly price for the chosen total contact tier: 100 / 250 / 500 / 2,000 / 5,000 / 15,000 / 50,000. Its website is counted once. MyRacePass season passes and licensing, and MotorsportReg membership/licensing, are credited instead of charging WildApricot again. Pro texts use 1–3 messages per ticket over the entered active months: Square Plus includes 500/month then $0.03/message; Premium includes 2,500/month then $0.015/message. No separate SMS subscription is invented.

Support, integrations and the $3,900 Support+ waiver

Trackside publishes training/support in the required monthly base and a 24/7 emergency procedure for issues that prevent sales or conducting an event. Stock and higher list Wi-Fi support. For networks installed and supported by our team, the comparison treats that recurring remote support as included with Stock or higher. Starter has no such plan inclusion; a matching external network-support allowance appears on both sides when that scope is selected.

The alternative’s professional upkeep is an explicit budget option. Its reference is Sphynx Automation’s published $6,000–$7,800/year contracts: weekly Zapier error review plus 12–24 maintenance/meeting hours annually. This is a published professional-service benchmark, not a requirement to buy that vendor, a quote for a dragway, or a 24/7 integration incident SLA. It does not include unlimited custom development. POS 24/7 phone support is inside Square Premium’s price, not charged a second time. Each software vendor’s included support is also credited.

Network support is separately selectable. Ubiquiti offers professional 24/7 support for compatible installed sites; a published distributor lists $2,500 for one year and $6,000 prepaid for three years ($2,000/year annualized). Distributor availability and site eligibility must be checked. This is remote network-vendor support, not an on-site field crew or POS/timing application support. It therefore prices part of the support scope without claiming the same unified responsibility.

IntegratedTrack supplied the Accutime Support+ commercial term used here: $3,900/year is waived with Trackside Stock, Modified or Pro. When Accutime support is selected, the separate stack carries $3,900; Trackside Starter carries the same $3,900, and Stock / Modified / Pro carry $0 additional. When it is deselected, it is removed from both sides. This credit does not include a timing system, a new TrackLink installation or any infrastructure project.

Zapier’s actual public pricing catalog sizes 2–4 external actions per ticket across the entered active months, with Professional at the low end and Team at the high end. We use the priced task tier that fits—not its 750-task headline at every volume. Custom-build work, initial deployment, data migration, hardware, network construction, alignment, broadband, field repairs and event staffing are project costs on both sides, excluded from recurring totals rather than assigned zero. A proposal must scope them before purchase. The optional staff model counts only the extra time you enter, outside paid maintenance; no achieved time saving or new revenue is assumed.

Competitor prices, bundled capabilities and unavoidable allowances

Published U.S. online-ticket service fees used: Eventbrite 3.7% + $1.79; TicketSpice $0.99 above $5 and $0.49 at $5 or less; TicketLeap $1 + 2% above $5, capped at $20, and $0.49 at $5 or less. TicketSpice’s included box office/forms and paid email/SMS/cashless options are credited. Fees count whether a track absorbs them or passes them to the buyer. A passed fee still affects what the customer pays.

MyRacePass is a motorsports platform. This model credits race management, registration, ticketing, box office, passes, licensing, race reporting and APIs. Its published promoter plans range from Plus $599/year to Partner $999/year. Its own Silver / Gold website hosting/support adds $599–$899/year and requires a race-management subscription, which is counted once. Published new-site / rebuild development fees of $1,795 / $1,295 are one-time costs, outside the annual recurring model. There is no extra race-management product charged when that optional scope is selected.

MyRacePass’s current complete ticket-fee schedule could not be verified publicly. Its ticket budget uses TicketSpice’s low online fee through Eventbrite’s published service fee at the entered price. That is a planning benchmark, not a MyRacePass quote or a bound on its actual fees. Eligible MRP digital waivers are credited as part of MRP; their unverified incremental fee uses the capacity-priced waiver allowance until a confirmed annual charge is entered. No second waiver product is counted for an eligible MRP track. For other insurance, an independent waiver product is budgeted and counted. The documented gate instructions ask staff to select how payment was received, complete the order and print/deliver a ticket. We distinguish that payment-to-ticket handoff from Trackside’s integrated payment and ticket issuance; we do not deny MRP has a box office or gate scanner.

MotorsportReg receives credit for participant forms, vehicle questions, check-in, memberships/licensing, email, APIs/webhooks and reserved garage-rental workflows. Its Premium organizer pricing says “inquire,” and its published $2 attendee booking fee is not the whole price. We removed the earlier unrelated annual subscription assumption. The reference uses a participant service-fee allowance based on RegFox’s published Standard / Premium fees ($0.99 + 1%, capped at $4.99; $1.99 + 1%, capped at $5.99), plus the MSR $2 booking fee, while excluding card processing. It is not an MSR quote. Enter an actual confirmed MSR service fee to replace that allowance; the $2 booking fee remains. The spectator share uses TicketSpice once, so a participant is never charged again as a spectator. Optional SpeedWaiver is budgeted with the waiver-tool allowance.

Required supplementary digital tech/control and cross-product analytics stay in both motorsports-provider stacks where the selected Trackside plan calls for them. APIs are credited but API availability is not the installed Trackside-to-Accutime workflow. Cost differences are ranges where inputs are ranges, and every chart uses the same model. A custom provider fee replaces its benchmark throughout the annual total and ticket sensitivity. None of the budget differences is an unconditional savings claim.
